Website policy

Privacy

How the official community website handles personal information, weather data, maps, owner services, and external websites.

Last updated September 3, 2026

Privacy-first community information

This site is designed to share general community information without publishing private owner records. Do not submit or post account information, payment details, passwords, ballots, proxies, violation records, medical information, gate or access codes, or other sensitive information.

Weather information

The local forecast is requested from the National Weather Service by the website server and briefly cached. A visitor’s browser does not contact the National Weather Service merely by loading the Greystone homepage. The website does not request device location.

Community map

The homepage map remains disabled until a visitor selects “Load interactive map.” Loading it connects the visitor’s browser to OpenStreetMap, which receives ordinary connection information such as an IP address and browser details under its own privacy practices. The marker identifies the public community entrance, not an individual home, resident, parcel, or surveyed HOA boundary.

Owner services and meeting access

Owner-specific balances, payments, documents, and account settings remain in the secure AppFolio portal and are not published here. Private virtual-meeting links and access codes are not retained on public pages.

External websites

Links to AppFolio, government agencies, utilities, healthcare providers, Facebook, Discord, Google Maps, OpenStreetMap, and other services open third-party websites. Those organizations control their own content, accessibility, security, data collection, cookies, and privacy practices. The Greystone website does not control those practices.

Resident request form

The resident request form collects the name, email address, optional phone number, request type, subject, message, and preferred response method that a visitor voluntarily submits. The request content is sent by email to the association’s configured, verified contact and is not saved as a WordPress database entry. Standard website-security logs and the receiving email providers may retain technical or message records under their own policies.

A privacy-preserving rate limit temporarily stores only a salted connection hash and submission count; it does not store the raw connection address or request content. Spam-prevention fields and time checks are also used. Do not submit a full property address, owner-account number, payment information, password, access code, medical information, or private document through the form.

Contacting management by phone, email, AppFolio, or the request form is governed by the practices and records procedures of the services and recipients involved. AppFolio should be used for private owner-account matters.

Policy updates

This page will be revised as website features or information-handling practices change. Material revisions will include a visible updated date.
